Storefront - Quote Management For B2B Users

Quote Management Screen 

B2B Users can access the quote management screen by choosing “Quote Management" in their account menu items if the store has quote features enabled. 
A quote’s life cycle includes: 
- For Sales Agent: 
  1. DRAFT: When a Sales Agent creates a new quote and saves it as a draft. 
  2. NEW: When Sales Agent receives a B2B Buyer’s quote.
  3. IN PROGRESS: When Sales Agent update the B2B Buyer's quote request and save as draft
  4. SENT: When Sales Agent sends the quote to B2B Buyer
  5. ORDERED: When B2B Buyer accept the quote and proceed to complete an order
  6. DECLINED: When B2B Buyer declines the quote.
  7. EXPIRED: When the quote is sent and now expired
- For B2B Buyer:
  1. DRAFT: When B2B Buyer creates a new quote and saves it as a draft
  2. SUBMITTED: When Sales Agent receives a B2B Buyer’s quote
  3. IN PROGRESS: When Sales Agent update the B2B Buyer's quote request and save as draft
  4. PENDING APPROVAL: When Sales Agent sends the quote to B2B Buyer
  5. ORDERED: When B2B Buyer accept the quote and proceed to complete an order
  6. DECLINED: When B2B Buyer declines the quote.
  7. EXPIRED: When the quote is sent and now expired

How: Login as a B2B Buyer, Navigate Account > Quote Management

View the list of quotes

The information listed in Quote List include: 
- Title: “Quote”
- Quote # column: Display the Quote number
- Created By column: Display the user that request or created the quote
- Assigned Agent column: Display the quote assigned agent's information
- Sent Date column: Display the date that the quote was sent to B2B Buyer or the date that the quote was requested by B2B Buyer
- Last Update column: Display the date that the quote was last updated
- Expiration Date column: Display the date that the quote will be expired
- Status column: Display the current status of the quote
- Action column: The actions displayed in action column will be dependant on the quote's status, the possible actions for agents includes: 
  1. Status “Draft”: Send, Delete, View, Update 
  2. Status “Pending Approval”: View Detail, Checkout, Decline
  3. Status “Ordered”/ “Expired”/ “Decline”/ “Submitted”/ “In Progress”: View Detail

Users can choose how many items to display per page: 10,20 or 30 lines per page.
How: At the bottom right corner of the screen Quote Management, Click on the field “10/ page” to choose how to display the quote list. 
B2B Buyers can search for quote information by filling in the fields in the Search Section. Information can be used to search for quotes includes:
- Quote #
- Sent Date: From… to
- Status
- Assigned Agent

How: In Quote Management screen, click on “+” icon in the right corner to expand the search section

Sort 

B2B Buyer can sort out information in all columns

How: Login as a B2B Buyer, navigate Account > Quote Management. Click the "Sort" icon to arrange the data order in each column. 

Manage quote list

B2B Buyer can access quote list screen once they login to the store. B2B Buyer can add products to their quote list by adding products from product list or product detail. Users can choose to update the quote list by: 
- Updating the quantity of each product in the quote list. 
- Delete product from the quote list. 
- Adding/ removing a message to the quote list. 
After the user updates the quote list, user need to update the quote list to save the information updated.

How: Login as a B2B Buyer, navigate Product List or Product detail > Add to quote. Select Quote icon on header to access quote list. 
- Select delete icon on product image to delete product out of the quote list
- Update quantity box to update quantity of product in product list
- Add message into text field > Select Add to add message 

Send Quote Request

Users can only confirm to send quote requests when there is a product in the quote request. Users will be directed to Quote Details screen to select the information of the quote request including:
- Selecting shipping & billing address: Default address will be chosen
- Selecting Shipping method: A shipping method will already be chosen
- Entering customer message and quote message
After inputting all the information, user can confirm the quote request and view the quote detail after the request has been sent successfully.

How: Login as a B2B User, Navigate Account > Quote List - Select Confirm Request in quote list to go to Quote Details screen - Select Send Request in Quote Details screen to confirm the quote request - Select Quote Detail to view information of quote

View quote details

When clicking to view quote details, the screen will display the information of the order including:
- Quote ID
- Quote Sent Date
- Valid till
- Status
- Order ID: this field only display if the quote’s status is ORDERED
- Company Information
- Quote Information: Expiration Date, Customer Message, Quote Note
- Shipping Address
- Billing Information
- Products list
- Quote Summary

How: Login as a B2B Buyer, Navigate Account > Quote Management. In the Action column, click View details of the quote the user wants to view. 

Checkout Quote

B2B Buyer can checkout from a quote that has status “PENDING APPROVAL". When checkout user will need to select: 

- Shipping & Billing address (required): The field will be pre-filled with information from the quote request, the user can still change the information

- Shipping method (required): The field will be pre-filled with information from the quote request, the user can still change the information  

- Payment method (required): The field will be pre-filled with information from the quote request, the user can still change the information  

- Customer Message: The field will be pre-filled with information from the quote request, the user can still change the information  

- Quote Note: The field will be pre-filled with information from the quote request, the user can still change the information  


After filling the information, clicking the “Place Order" will complete the order. Users can select order detail in the confirmation screen to see more detail of the order, the order will have a link to the quote related. The quote status will change to “ORDERED".

How: Login as a B2B User, Navigate Account > Quote Management > Select checkout from quote with status “Pending Approval"
- Select Place Order to complete checkout
- Select Order Detail to view information of order placed from cart

Decline Quote 

B2B Buyer can decline a quote that has the status “PENDING APPROVAL". There will be a pop up for users to confirm.

How: Login as a B2B Buyer, Navigate Account > Quote Management. In the Action column, click Delete of “Pending Approval" quote. 
The confirmation pop-up will be displayed to make sure you want to proceed. Click Yes to delete or No to NOT decline. 


After deleting, a toast message will be displayed for 3 seconds: “This quote has been declined successfully.”
