Storefront - Quote Management For Sales Agents


Quote Management Screen 

Sales agents can access the quote management screen if the store has quote features enabled. 
Agents can access the screen by choosing “Quote Management" in their account menu items. 

A quote’s life cycle includes: 
- For Sales Agent: 
  1. DRAFT: When a Sales Agent creates a new quote and saves it as a draft. 
  2. NEW: When Sales Agent receives a B2B Buyer’s quote.
  3. IN PROGRESS: When the Sales Agent updates the B2B Buyer's quote request and save it as draft
  4. SENT: When Sales Agent sends the quote to B2B Buyer
  5. ORDERED: When B2B Buyer accept the quote and proceed to complete an order
  6. DECLINED: When B2B Buyer declines the quote.
  7. EXPIRED: When the quote is sent and now expired
- For B2B Buyer:
  1. DRAFT: When B2B Buyer creates a new quote and saves it as a draft
  2. SUBMITTED: When Sales Agent receives a B2B Buyer’s quote
  3. IN PROGRESS: When Sales Agent update the B2B Buyer's quote request and save as draft
  4. PENDING APPROVAL: When Sales Agent sends the quote to B2B Buyer
  5. ORDERED: When B2B Buyer accept the quote and proceed to complete an order
  6. DECLINED: When B2B Buyer declines the quote.
  7. EXPIRED: When the quote is sent and now expired

View

How: Login as an Agent Navigate Account > Quote Management

View the list of quotes

The information listed in Quote List include: 
- Title: “Quote”
- Quote # column: Display the Quote number
- Created By column: Display the user that request or created the quote
- Company column: Display the information about the company of the quote request
- Assignee column: Display the quote assigned agent's information
- Sent Date column: Display the date that the quote was sent to B2B Buyer or the date that B2B Buyer requested the quote
- Last Update column: Display the date that the quote was last updated
- Expiration Date column: Display the date that the quote will be expired
- Status column: Display the current status of the quote
- Action column: The actions displayed in the action column will be dependent on the quote's status; the possible actions for agents includes: 
  1. Status “Draft”: Send, Delete, View Detail, Update 
  2. Status “New”: View Detail, Update
  3. Status “In Progress”: View Detail, Update, Send
  4. Status “Ordered”/ “Expired”/ “Decline”/ “Sent”: View Detail


Users can choose how many items to display per page: 10,20 or 30 lines per page.
How: At the bottom right corner of the screen Quote Management, Click on the field “10/ page” to choose how to display the quote list. 

Sales agents can search for quote information by filling in the fields in the Search Section. Information can be used to search for quotes includes:
- Quote #
- Created By
- Sent Date: From… to
- Status
- Assignee
- Company

How: In Quote Management screen, click on “+” icon in the right corner to expand the search section

Sort 

Sales Agent can sort out information in all columns.


How: Login as an Agent, navigate Account > Quote Management. Click the "Sort" icon to arrange the data order in each column. 

Create New Quote 

Sales agents can create a quote by providing a specific discount to a specific company and send it to the company owner to place the order. The information that sales agent need to fill in to create a new quote includes: 
- Company Information section (required): Agent need to select a company for the quote
- Quote Information
  1. Quote expiration date (required)
  2. Customer Message: 
  3. Quote Note
- Shipping Information (required): Users can choose from a list of existing addresses of the company or enter a new address into the address field.  
- Billing Information (required): The section can be filled by duplicating the address from the Shipping Information section, choosing from a list of existing addresses of the company, or entering a new address into the address field. 
- Products (required): Users can add products to the quotes by searching for the products by name or SKU. In the Product section, agents can change the quantity of the products in the quote or give a discount to the product based on the type of discount. 
- Quote Summary (required)
  1. Discount (required): There are 3 discount types agents can give to their customers which is Discount per Item, Order Fixed Amount, Order Total Percentage. 
    1. The default value is Discount per item which users can edit the price of the product in the quote. 
    2. Order Fixed Amount: Users can input a certain amount to be discounted on the order total. 
    3. Order Total Percentage: Users can input a percentage to be discounted on the order total. 
- Shipping Method (required)
After filling the information, users can choose to: 
- Save: The quote will be saved as a draft quote.
- Send: The quote will be sent to the company of the quote, the status of the quote will change to “Sent". 
- Cancel:



How: Login as an Agent, navigate Account > Quote Management > Select “Create New Quote" button. Fill in the information, then select Save to save as a draft, Send to send the quote. If users do not want to save or send the quote, they can select Cancel.

Send Quote from Quote List

Sales agents can quickly send a quote from the quote list when the quote status is “Draft". The quote will be sent to the company of the quote, the status of the quote will change to “Sent". 


How: Login as an Agent, Navigate Account > Quote Management. In the Action column, click Send for the quote the user wants to send. 

View quote details

When clicking to view quote details, the screen will display the information of the order including: 
- Quote ID
- Quote Sent Date
- Valid till
- Status
- Order ID: this field only displays if the quote’s status is ORDERED
- Company Information
- Quote Information: Expiration Date, Customer Message, Quote Note
- Shipping Address
- Billing Information 
- Products list 
- Quote Summary 




How: Login as a Sales Agent, Navigate Account > Quote Management. In the Action column, click View details of the quote the user wants to view.

Update Draft Quote

The quote information that the sales agent can edit includes:
- Company Information section (required): The agent need to select a company for the quote
- Quote Information:
  1. Quote expiration date (required)
  2. Customer Message:
  3. Quote Note
- Shipping Information (required)
- Billing Information (required)
- Products (required) Q
- Quote Summary (required)
  1. Discount (required) 
  2. Shipping Method (required)
After filling the information, users can choose to:
- Save: The quote will continue to be saved as a draft quote.
- Send: The quote will be sent to the company of the quote, the status of the quote will change to “Sent".
- Cancel


How: Login as a Sales Agent, Navigate Account > Quote Management. In the Action column, click Update of the “Draft” quote the user wants to update. 

Update a Quote Request from B2B Buyer 

The quote information that sales agent can update includes: 
Company Information section (required): Agent need to select a company for the quote
- Quote Information: 
  1. Quote expiration date (required)
  2. Customer Message: 
  3. Quote Note
- Products (required): user can change quantity or quote price for the products that customer request but cannot add a new product or delete products from the form that customer request
- Quote Summary - Discount method only
After filling the information, users can choose to: 
- Save: The quote will continue to be saved in status “In Progress"
- Send: The quote will be sent to the company of the quote, the status of the quote will change to “Sent". 
- Cancel


How: Login as a Sales Agent, Navigate Account > Quote Management. In the Action column, click Update of the “NEW” quote the user wants to update. Fill in the information then select Save to save with the status change to “In Progress", Send to send the quote. If users do not want to save or send the quote, they can select Cancel


Delete Draft Quote 

How: Login as a Sales Agent, Navigate Account > Quote Management. In the Action column, click Delete of Draft Quote. 
The confirmation pop-up will be displayed to make sure you want to proceed. Click Yes to delete or No to NOT delete a draft quote. 


After deleting, a toast message will be displayed for 3 seconds: “This quote has been deleted successfully”.”
